The Administrative Assistant serves as the assistant to the pastoral staff in all areas of ministry, acting as the voice and face of the church to all of its public encounters. The Administrative Assistant manages all activities of the church office and performs administrative duties related to the church’s mission and ministry. Hours are 9 AM - 2 PM (2:30 PM if a lunch break is taken) Monday - Thursday for a total of 20 hours/week. Additional hours may be required on occasion to attend staff meetings or Church Council meetings. Administrative Assistant Job Description

Reports To: Pastor

Status: Part-time

Suggested Salary: $16.00

Hours: 20 hours per week; working 9:00 AM to 2:00 pm four days a week, or 9:00 – 2:30 with an unpaid 30 minute lunch. Occasional changes to hours may be required. Monthly staff meetings may be required.

Benefits: This position does not include benefits (health insurance, short or long term disability), paid sick time or paid vacation time. The Administrative Assistant will be excused from duties if they unable to work or if the church is closed for any reason.

Organization: The Administrative Assistant reports to the Pastor for assignments and ministry guidance. The Administrative Assistant position is governed by local church policy as determined by the Charge Conference, Pastor, and Staff/Parrish Relations Committee (SPRC).

Summary: The Administrative Assistant serves as the assistant to the pastoral staff in all areas of ministry, acting as the voice and face of the church to all of its public encounters. The Administrative Assistant manages all activities of the church office and performs administrative duties related to the church’s mission and ministry.  The Administrative Assistant does not have to attend Bridgewater United Methodist Church, but a profession of faith in Jesus Christ is required.

Duties include, but are not limited to the following:

Essential functions include church office management, assistance with financial record-keeping, and general clerical and receptionist duties 

Assisting others – answering the phone and all that walk into the church office

Responding to office emails

Distributing mail

Keeping the office stocked – postage, paper, other requested supplies

Produce publications – weekly Sunday bulletins, weekly Friday Blast email, newsletters (as needed), special bulletins for funerals or extra services 

Update hallway displays – bulletin boards, literature racks, attendance/offering board

Ordering supplies – Sunday School materials, worship supplies, and other requested items

Managing the church calendar, facility use reservations, and distribution of keys

Assisting the financial committee with various tasks

Preparation of all correspondence for the Church as requested.

Preparation of congregational care materials for residents at BRC. Materials are delivered by others.

Responsible for gathering various information/quotes as needed (insurance, service contracts, phone systems, computer parts, etc.)

Update membership database in Elvanto and Tithely, producing reports and directories as needed. Tithely and Elvanto training will be provided by BUMC.

Perform other duties as requested by the Pastor and/or senior staff.

Qualifications and Aptitudes:

The Administrative Assistant will have a personal commitment to Christ.

The Administrative Assistant should have a passion to create a positive and nurturing environment while functioning as part of a larger church team.

The Administrative Assistant must be self-motivated, able to multi-task, and prioritize projects and possess the ability to work independently with minimum supervision

The ability to maintain confidentiality in the workplace is essential. The Administrative Assistant must always be mindful of sensitive issues that are shared in a church office

The Administrative Assistant will be proficient with computers and software

Experience with Microsoft Office products such as Word, Publisher, Excel, and Outlook is desired.
